This page explains how to delete your Cotra account and what happens to your data. You do not need to install the app to make a request.
Who this applies to
Cotra accounts are held by adults — coaches, and the parents/guardians of the athletes they coach. Children do not hold Cotra accounts.
How to request deletion
Email privacy@cotraofficial.co.uk from the email address registered to your Cotra account, with the subject line "Delete my account".
Please include:
- the email address on the account, and
- whether you hold a coach account or a parent/guardian account.
We may ask you to confirm the request from the registered email address before we act on it. This is to make sure nobody else can delete your account.
We aim to acknowledge your request within 7 days and to complete it within 30 days.
What gets deleted
When your account is deleted we remove or irreversibly anonymise:
- your name, email address and telephone number;
- your profile information;
- your account credentials;
- messages you sent through the app;
- your availability and booking records; and
- any notification tokens registered to your devices.
What we keep, and why
A small amount of information may be retained after deletion where we are legally required or permitted to keep it:
- Records we must keep by law — for example financial and tax records, which UK law requires us to retain for up to 6 years.
- Safeguarding and safety records — where a report has been made, we may retain the records needed to deal with it.
- Fraud prevention and dispute records — where they are needed to resolve an open dispute.
Anything retained is kept only for as long as necessary for that purpose, and is then deleted or anonymised.
Effect on other people's records
Cotra is a shared tool. Where deleting your account would remove information another person needs — for example a booking that a coach also holds a record of — we anonymise your details rather than deleting the shared record outright. Your personal information is removed; the other person's record of the session remains.
Changed your mind?
Deletion is permanent and cannot be undone. If you would prefer to simply stop using Cotra without deleting your data, reply to us and say so — we can leave your account in place instead.
Other data rights
Deleting your account is one of several rights you have under UK GDPR. You can also ask us to give you a copy of your data, correct it, or restrict how we use it. See the Privacy Policy for the full list and how to exercise them.
